Meeting Expectations

It’s called the Assoc. of Rural and Small Libraries, or the ARSL.

As that name suggests, its mission is to “build strong communities through advocacy, professional development, and elevating the impact of rural and small libraries.”

Its members were in Albuquerque last week for the group’s annual conference. But a year ago, they were in Springfield, some 1,400 of them.

This is a national association that takes that annual conference to every corner of the country, said Alicia Szenda, vice president of Sales for the Greater Springfield Convention & Visitors Bureau, now doing business as Explore Western Mass, adding that it will likely be several years before it returns to the Northeast and maybe several more before it comes back to the City of Homes.

But there’s a decent chance it will — because the group liked what it saw, everything from a library with some architectural significance to an attraction that can’t be found in New Mexico or anywhere else.

“They couldn’t have been more thrilled with the fact that Dr. Seuss was from Springfield and there’s a Seuss museum here,” said Szenda, adding that ARSL typifies the type of group this region is trying to attract, and its reasons for coming here point to why the past fiscal year (July 1 to June 30) was a good one for the 413 when it came to both hosting meetings and conventions, and, even more importantly, putting events on the books for the next several years.

Indeed, just five years after COVID devastated the conventions sector, it has made a nearly full recovery, said Mary Kay Wydra, longtime president of Explore Western Mass, adding that, by and large, meetings and conventions have returned to in-person affairs.

And this region is more than holding its own in the increasingly competitive climate for gatherings large and small, with the main competition for those eyeing the Northeast coming from Hartford, Conn. and Providence, R.I., but also Boston for some shows, as well as Worcester, Lowell, Manchester, N.H., and other cities. For national groups, there is obviously much more competition, said Wydra, adding that this region bumps up often against such cities as Des Moines, Iowa and Harrisburg, Pa.

As it has for years now, the region continues to try to sell event planners on what Szenda and Wydra call the ‘3 A’s’ — affordability, accessibility, and attractions.

Affordability comes in many forms, but especially a $169 hotel room rate, on average, for groups, which is far less than Boston and competitive with those other cities listed above. Accessibility refers to the region’s proximity to several major highways (for groups that will drive to their meetings), but also a location that makes it convenient for residents of all six New England states and New York. As for attractions, the Seuss Museum and MGM Springfield now give the region more selling points in addition to the Basketball Hall of Fame, Six Flags, and other destinations.

For this issue and its focus on travel and tourism, we talked with Szenda and Wydra about the region’s ongoing efforts to attract meetings and conventions and the dollars they bring to several different sectors of the local economy.

 

Staying Power

The state’s Democrats staged their annual convention in Springfield earlier this month.

Most business was conducted over a Saturday, but still, more than 300 hotel rooms were booked for the gathering, said Wydra, adding that the Democrats meet in different Bay State cities on a rotating basis.

Such return business — and this region sees a good amount of it — is one of the keys to long-term success in this business, she said, adding that another is getting in front of groups and making a pitch for the 413.

“When we saw it, we said, ‘we know we can do an amazing job of hosting this event,’ and we started working then and there to push the Commonwealth to come west.”

And the team at Explore Western Mass has been making more of these pitches, which is indicative of the aggressive nature of its pursuit of convention business, but also stronger interest in this region and those 3 A’s.

“In fiscal ’25, we had more site visits than we did the year before,” Szenda said. “And those are so important to us because we find that, once meeting planners and event right holders come to the area and see what we have to offer and meet the teams everywhere, we have a really good conversion rate.”

In fact, she noted, 75% of those groups who came to this region for a site visit wound up booking their event here.

“That’s a great number,” she said, adding that it can be attributed to several factors, from the region’s affordable character to the strong customer service provided by the team at Explore Western Mass, to the fact that the Convention Center Carpark was nearing completion and is now open, making downtown Springfield much easier to navigate.

“Opening the parking garage is huge,” she said, adding that the carpark and the new space next to it called the Landing gives the city and this region another strong selling point.

Szenda was pushing these points at the recent Destination East trade show in Providence, attended by groups looking to meet in the eastern part of the country.

“We had planners from Florida up to Maine, all the way up the coast,” she explained. “I’ve already had several conversations since I left Providence with some meeting planners and have received some opportunities for business specific to Western Mass.”

And there is already a solid number of meetings and conventions on the books for the next few months and years, a mix of new and repeat business that includes the New England Chapter of the American College of Sports Medicine, the Massachusetts Health Officers Assoc., Yankee Security’s annual trade show (coming in October), the New England Grooming Show (a dog grooming competition coming back for a third year in Springfield), the Steubenville East Youth Conference, New England Regional Volleyball (slated for next February), a variety of regional dance and cheer events, the Ironman triathlon, and more.

Putting more events in the pipeline, the goal of every city and region, often comes down to making a strong case, and then, when an event comes here, helping to make sure things run smoothly, said Wydra, adding that communication is key, as is working with groups on issues such as the closed parking garage.

Both ends of the equation were on display with a gathering of the Governors Conference on Travel and Tourism, an event that was resurrected by the Healey administration after not being held for several years.

The first conference was staged in Boston, said Wydra, and while attending that gathering, those at Explore Western Mass became determined to bring it here — and they did.

“When we saw it, we said, ‘we know we can do an amazing job of hosting this event,’ and we started working then and there to push the Commonwealth to come west,” she told BusinessWest. “Alicia put together a great response to their request for proposals, and we did a lot of hospitality. We wanted to showcase to the Office and Travel and Tourism and all the people in our industry how we service visitors. The amenities we offer when a pet groomer comes or the rural librarians come, we did for the guests of the governor’s conference.

“And we got high marks on the survey after the conference for all those extra steps,” she went on, adding that these good scores are common and help explain why the region often stands out in the crowded field for meetings and conventions, and why there is so much repeat business. “We’re competing with other destinations all the time, so the little stuff really matters.”

 

Drawing Conclusions

As noted earlier, the rural librarians may not return to Springfield and the Seuss Museum for several years, given the many areas of the country it will visit for its annual conference.

But they liked what they saw, and they gave the 413 high marks for its hospitality. This is all a region can hope to do as it brings groups in for their gatherings — make a solid impression that will bring them back.

This formula has helped Western Mass. make a full recovery from the pandemic when it comes to meetings and conventions — and create some real optimism for the years to come.

Mick Corduff has been in the restaurant business long enough to know what brings customers in.

In many cases, it’s a simple change in the weather.

“It kind of clicks into gear right now. I think most people’s grills are being put away, and the patio furniture has been brought in, so people are starting to go out a little bit more,” he said. “And now we’re gearing up for the holiday season.”

Ah, yes, holiday parties. As owner of two venerable Holyoke dining spots — the Log Cabin, with plenty of space for large company events, and the Delaney House, suitable for smaller gatherings — Corduff understands the draw of corporate get-togethers, and he’s hoping other strong signs from 2024 carry over into November and December.

“We’re coming off a really busy wedding season, and foliage season has been going really well. We just finished some Thanksgiving menus, finished up the Christmas to-go packages, and the reservations for holiday gatherings are starting to trickle in now.”

Corduff said companies who like their experience with the Log Cabin or Delaney House have learned to rebook early.

“There’s always a last-minute Sally, but then there’s the customer base that has the same Friday every year — the Friday before Christmas, or two weeks before, or the first Saturday in December. We’re actually seeing some holiday Christmas parties in November, a little earlier than usual, especially with the bigger ones. They really want to have it on a Friday night or a Saturday night, and the Saturday nights tend to be grabbed up really quick. So we have a few customers that are doing it in late November, mid-November, in and around Thanksgiving.

“We just finished some Thanksgiving menus, finished up the Christmas to-go packages, and the reservations for holiday gatherings are starting to trickle in now.”

“You can work with them on pricing when there isn’t such a high demand, so that’s always a good thing for them,” he added. “Or they might get the whole facility, rather than having to do smaller rooms because it fits what we have. Like I said, we’re really starting to pick up on Fridays and Saturdays right now.”

Holiday bookings seem comparable to where they were in 2023, he added, partly due to the loyalty factor.

Mick Corduff says many repeat customers for holiday parties like to book the same dates year after year.

“We have a loyal customer base that comes to us year over year. Some of the larger companies have come to us on the same dates,” he told BusinessWest. “It also really depends on how the holidays fall. Christmas falls in the middle of the week this year, so it’s a little different.”

Edison Yee, principal managing partner of the Bean Restaurant Group, which boasts more than a dozen establishments, ranging from quick service to fast casual to more upscale, said the holiday season is an exciting time of the year for the company.

“We began planning months ago; for most restaurants, it’s the busiest time of the year,” he said, noting that the Student Prince, on Fort Street in Springfield, and the Boathouse, on the Connecticut River in South Hadley, do most of the function-type business, and holiday bookings start coming in during the summer.

“Christmastime on Fort Street is very, very festive. It’s decorated — we have great new decorations this year — and we have the Fort carolers, which are always a smash hit. People come back, families come back, businesses come back year after year for the festivities. With the traditions of Fort Street, it’s a great time to be there.

“At the Boathouse, it’s usually the same — that’s a function house as well, with ample room,” Yee explained. “They both do great business over the holidays, and we have Christmas with Santa at both locations.”

In short, it’s a busy time, he said. “The other restaurants are busy as well, but they don’t do so much the big functions of 300, 400, or 500 people because they don’t have the room. They do have a lot of smaller functions throughout the holidays, though. Right after Black Friday, everything kicks off.”

 

Slow Climb Back

The pandemic four years ago crushed the holiday-party season, and 2021 started a slow climb back, but a national survey conducted toward the end of 2023 suggested that companies are clamoring once again to celebrate the holidays with their teams in-person.

According to survey results from global outplacement and business and executive coaching firm Challenger, Gray & Christmas Inc., 64.4% of companies reported having in-person holiday parties in 2023, up from 57% who reported the same in 2022 and 27% who held in-person parties in 2021. It marked the highest percentage of companies holding in-person holiday parties since 75% of companies reported they held parties in 2019.

Local restaurant leaders like Corduff and Yee hope that trend continues, though only time will tell.

“We have quite a few that are post-holiday,” Corduff said. “It brightens up the winter. We see them probably until the end of January, even.”

Such a choice makes sense for businesses with a heavy end-of-year load, but it makes life easier on many fronts regardless of the company, he pointed out.

“If you do it early or you do it late, you have a little bit more flexibility. Sometimes the space can be more grandiose, and usually other vendors are more available — a DJ is not as busy in late January. So it’s not just us as a venue, but the availability of any vendor. A company can probably get a better deal and maybe do more for their customers or staff or whoever they’re trying to entertain.”

“Times are challenging now for restaurants. Food inflation and wage inflation and insurance costs have escalated. So it’s important to be on top of it.”

Yee said restaurant workers are among the groups who might want to get past the holidays to celebrate, adding that November and December are certainly much busier for parties across the Bean Group than January.

Corduff said the Log Cabin has found much success with large holiday parties that many small businesses attend, with a variety of price points.

“At the public holiday parties, you can have a hairdressing salon with a table of lawyers and a mechanic shop down the street, all intermingling and having a great time. It’s an economic way for businesses to take people out to a big Christmas party.

“You might have a small, more intimate event at the Delaney House, whether it’s 8, 10, 16, 20 people,” he went on. “Usually in that environment, it tends to be more about the dining experience, whereas, at some of the group holiday parties, we have the entertainment built in. Whether it’s comedy or a DJ and dancing, food and wine pairings, you have a wide variety of options there. We’re always trying to think outside the box to keep it fresh and stay creative and have a good time with it.”

One trend Corduff has noticed is that people are going out to eat, and planning events, a little earlier in the evening than before.

“I think it’s not just a Western Mass. thing, but a lot of restaurants are seeing 9 o’clock at night and the restaurant’s empty. Some of the restaurateurs that I talk to in Springfield say, ‘we used to have 9 o’clock reservations; we don’t anymore. You know, 8:30 is our last reservation these days.’ So either people are going to bed earlier, or who knows what it is, but the trend has shifted to an earlier dining slot.”

 

Back to Normal

As for the restaurant business is general, Yee said the gradual fade of the pandemic saw a rush of people tired of staying indoors.

“They wanted to go celebrate, and finally, they could do that. And now things have kind of leveled off for a more normal holiday.”

Corduff agreed. “COVID has still been around, unfortunately. But I think people are just getting on with their lives. If you’re sick, you stay in bed. Don’t go out. If you have the flu, you do the same exact thing.

“But I do think people are going out, having a good time; people aren’t as fearful as they were, and it’s showing in the numbers of people going out,” he added. “The group holiday parties were non-existent post-COVID. If a hairdressing salon was having a party, they probably had it at their shop. And we saw a lot of catering business post-COVID; we survived off those catering parties. So we still do it.”

Yee said he’s happy to see things returning to normalcy.

“We have restaurants throughout Western Mass. and Northern Connecticut, and overall, we’re up a small percentage, about 4%. I’m hearing mixed signals from different restaurateurs; some are up, some are down. For us, we like to say we have pockets or different regions that are stronger than others.”

For example, the Connecticut eateries have been fairly strong. “The quick service has been a little bit weaker overall. Our casual dining has been strong. Elevated dining is a little flat.”

That said, “times are challenging now for restaurants,” Yee said. “Food inflation and wage inflation and insurance costs have escalated. So it’s important to be on top of it. We think we’re in a good place.”

With a busy holiday season ahead to bring the cheer — and the business.

Buoyed by a strong economy, these are good days for area venues that host year-end company parties — and any other type of event, really. But with so many options, it’s a competitive environment — one that has become even more so with the emergence of MGM Springfield on the scene. Yet, new players might also be boosting interest in party bookings in general, raising the fortunes of everyone who promises to bring fun and flexibility to the season’s many gatherings.

In the eight years since she opened her event-planning business, Tanya Costigan has seen plenty of changes in corporate party planning. In fact, launching her enterprise, Tanya Costigan Events, at the tail end of the Great Recession was a challenge in itself.

“There was definitely a downshift in the year-end parties, but I do feel like they are picking up a bit,” she told BusinessWest. “I think part of it has to do with some of the new venues that are here, like GreatHorse and MGM; these heavy hitters are playing a role in getting people excited. A friend of mine was looking elsewhere, and is now thinking about a client-appreciation event at MGM next month. So I think it’s triggering some excitement in the industry in general.”

Anthony Caratozzolo is certainly excited. As vice president of food and beverage at MGM Springfield, he’s been pleased with early bookings in the casino resort’s banquet space, which encompasses the Aria and Bellagio ballrooms and can host groups from 15 to 540 people.

“Each of the ballrooms comes fully themed out with holiday décor, and we have different menus to accommodate different groups,” he said. “If they want a more reception-style event, we can accommodate that. If they want a lunch or sit-down dinner, we can do a custom menu for that. We’re very versatile. All of our ballrooms can be broken into smaller rooms to accommodate smaller parties at the same time. Most places can’t accommodate different groups as well as we can.”

As an integrated resort, MGM arrived on the scene with the aim of raising the bar for entertainment and events of all kinds, including holiday parties, because attendees can move right from a party to the casino floor, the Commonwealth Bar and Lounge, a movie, bowling, ice skating, or shopping — not to mention staying overnight at the hotel.

Tanya Costigan said she enjoys helping clients hone their vision for a broad range of parties and other events.

“Clients can also book extracurricular activities,” he said. “If they want a suite at Topgolf or want to go bowling, they can book all that with the catering manager. They just have to figure out what they want to do with their night.”

Like other event organizers who have spoken with BusinessWest leading up to the holiday season in previous years, Caratozzolo has seen a healthy mix of party requests.

“Every group is different. Some of the companies have been around a long time and tend to enjoy a formal, sit-down dinner, while the younger generations may enjoy a reception style — and both of these are built into our catering package,” he said. “We’ve had a lot of inquiries, and we’ve had some bookings.”

At a time when businesses seem to be investing in holiday parties, MGM offers another high-profile option that, at the very least, has people talking about how they want to celebrate the season and thank their employees.

Planning for Fun

Costigan told BusinessWest that sometimes a venue brings her in to plan an event, while other times the client hires her, and she might help choose the location. Describing her job as “planning, design, and management,” she has a role to play from the initial idea through the big day, helping everything run smoothly.

“I do everything from birthday parties and weddings to holiday parties,” she noted, with recent events including Square One’s annual tea party at the Starting Gate at GreatHorse, and the Link to Libraries gala at the Log Cabin.

“I might be doing the design, the planning … there’s a wide scope of things I do,” she said, noting, as Caratozzolo did, that clients are calling for a range of styles when it comes to social gatherings.

“It does vary, but I find that a lot of the people are going for the stand-up, cocktail-hour feel, with passed apps and drinks. Sometimes they do a fun, themed signature drink. And sometimes the holiday parties are not necessarily Christmas-related — I had someone do a year-end party that had the feel of a street carnival, but it was inside the venue. It’s not always winter-themed.”

Anthony Caratozzolo says many venerable companies still prefer formal sit-down dinners, while younger clients tend to opt for reception-style events.

Reasons for holiday parties vary as well, Costigan added. “I find a lot of them are for client appreciation, but, for example, I did the Keller Williams holiday party, and it was all of their different branches coming together and having a fun party. So I think sometimes it’s a bonding thing for the employees.”

Bistro 63 in Amherst has become a popular event site for area colleges and businesses, Event Manager Alyssa Blumenthal said. Business tends to pick up starting in October, not only with the approaching holidays, but because it tends to be a hot season for convention business — and those events tend to spur further bookings. “The end of October is the busiest time of year to receive holiday party bookings. We also get a lot of reunions this time of the year — high school and college.”

Because it easily transforms from a banquet space to a nightclub — often during the same event — many business owners in the area recognize it as a place where they can complement their party with an evening of dancing as well.

“That’s been fantastic; we’ve really been working on training the staff to cross-sell services,” Blumenthal said.

Bistro 63 is also known for its elaborate — and creative — cocktail program. In addition to a rotating list of custom cocktails, the venue creates unique concoctions for specific events. For example, attendees of the International Conference on Soils, Sediments, Water and Energy at UMass Amherst, which books an event at Bistro 63 each year, recently enjoyed a ‘sediment sour,’ which was made to look like dirt garnished with rosemary.

“The soil convention group is all middle-aged men, 40s and 50s, who come up to the bar with a smirk on their face, asking, ‘what smart-aleck cocktail do you have for us this year?’ And I’ll get them to try these ridiculously frilly drinks,” Blumenthal said. “We try to have fun with our events because so many people do associate us with the nightclub.”

Caratozzolo agreed that fun should be at the heart of any party.

“MGM is all about entertainment — that’s what we do, whether it’s an elaborate party or just a small get-together,” he said. “That’s what we’re good at, what we love to do; we work with clients to find out what they want. At the end of the day, they’re our guests, and every group is different.

“We’ve had large conventions, we’ve had expositions, we just booked our first wedding about two weeks ago, and we have small association groups — maybe bridge clubs or chamber events,” he went on. “We have all the capabilities to really do anything, because we’re MGM. We can open a lot of doors.”

Reasons to Party

Likewise, Bistro 63 hosts parties of all types — holiday events, corporate dinners, cocktail parties, rehearsal dinners, reunions, and more — ranging from small gatherings to large events up to 240 people. A large room can be divided into smaller spaces, including a covered deck outside.

“Last year we had the highest number of rehearsal dinners booked, and we’re super excited to continue that trend,” Blumenthal said. Also on the rise are companies hosting recruitment and networking events for students at the Five Colleges.

“We’ve hosted Google, PwC, Newell Brands, and some other regional corporations, as well as a handful school-sponsored events this year,” she added. “More than half our staff are students — UMass, mostly — and we love hosting these events because it speaks to the strength of the academic programs in the area, and it has directly resulted in increased business for our establishment.”

But holiday parties, too, have been on the rise, with bookings increasing each year as the economy continues to chug along, she told BusinessWest.

“Many companies had annual gatherings and stopped doing it for budgetary reasons, and have since put it back in the budget,” she noted, adding that Bistro 63 markets its flexibility and quick turnaround times to plan events — and that has become a key element in its growth.

“Those short-notice events have lots of times turned into annual events for us. Clients say, ‘maybe we do have the budget for a small dinner for our core team,’ then it goes really well, we provide service better than they expected, and they come back year after year.”

Costigan enjoys those success stories, too, like the recent Square One tea, which boasted a vintage golf theme.

“I love the design part. The planning and management are great, but the design is my favorite part,” she said, recalling the reaction of Kristine Allard, Square One’s chief development and communication officer, to Costigan’s initial designs for the event.

“When she saw my design board for what vintage golf means to me, she said, ‘oh my God, you climbed right into my head.’ It was amazing. I love that part — as well as installing the whole design, when they’re like, ‘this is great.’”

It’s a reaction any event planner or venue hopes for, when it comes to holiday parties or any other event — because it’s those reactions that keep businesses coming back, year after memorable year.
